Hourly Rate:$25.00 – $28.00

Position Summary:

The Administrative Office Associate administrative and operational support to the Development Department and the Office of the President. This role supports daily office operations, meeting coordination, event logistics, and departmental projects that contribute to the Institute’s mission.

This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a collaborative environment. It also offers exposure to nonprofit development, institutional operations, and program coordination, making it an excellent opportunity for someone interested in building experience in nonprofit administration.

Key Responsibilities:

Administrative Support

  • Provide administrative support to the Development Department and the Office of the President.
  • Manage shared calendars and assist with scheduling meetings and appointments.
  • Draft, format, and maintain basic correspondence and internal documents.
  • Maintain organized electronic and physical filing systems and documentation.

Meeting & Office Coordination

  • Coordinate internal and external meetings, including scheduling, room reservations, and materials preparation.
  • Prepare meeting agendas, take meeting minutes, and track follow-up items as needed.
  • Provide basic technology support for meetings and presentations.
  • Maintain office supplies and coordinate ordering as necessary.

Development & Event Support

  • Assist with administrative tasks related to development activities and donor communications.
  • Support planning and logistical coordination for fundraising events and institutional gatherings.
  • Help prepare materials and documentation for development initiatives and meetings.

Program & Department Coordination

  • Maintain departmental and program calendars.
  • Assist with scheduling program meetings and activities.
  • Distribute program communications and materials.
  • Assist with sending evaluation forms and tracking responses.

General Office Operations

  • Respond to telephone inquiries and route messages appropriately.
  • Assist with onboarding logistics and other administrative HR tasks as needed.
  • Support cross-department administrative projects and office initiatives.
  • Maintain overall organization of administrative processes and documentation.

Projects & Cross-Department Collaboration

  • Support special projects and initiatives across departments as needed.
  • Assist with preparation of materials for institutional meetings and events.
  • Coordinate information and communications between departments to support program and development activities.
  • Provide administrative support for organizational initiatives and community engagement activities.

Qualifications:

  • Bachelor’s degree or equivalent experience preferred.
  • 3–4 years of administrative or office support experience, preferably in a nonprofit or professional office environment.
  • Strong organizational and time-management skills with attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and work collaboratively in a team environment.
